School-e Ltd is committed to protecting the privacy of all our customers. We take our duty of care very seriously when handling personal data and we are already working towards to the new GDPR (General Data Protection) starting on the 25th May 2018. Our Privacy Policy describes how we collect, use, protect and keep our customers’ personal information. We also mention some of our policy procedures and how we erase any of your personal information.

 

Why we have to collect your personal information:

We collect your personal information to process transactions that you have requested and to provide effective customer support related to purchases from www.school-e.co.uk
Some of your personal information is used as well to fulfil our legal obligations.
We may use the personal information you provide to inform you of new products or renewal of our existing services with you. If you do not want to be informed of new services or products, you can send us an email to Info@school-e.co.uk, call us or send us a letter. We will respect your decision.

What kind of information we collect from you when you order a product, or you book our services (online):

We collect personal information that you voluntarily supply to us on the website if you make a general enquiry or by filling our form when you enrol in our services.
If you make a general enquiry for our services online, we collect the following information:
• Name
• Phone
• e-mail
• Your enquiry
Of course, if you decide to enrol with us all the information shown in our next point below will be requested too.
Note: Some other billing information such as credit card is processed at the moment with a third company (Paypal). Therefore, we don´t keep any of your credit card details.
If you check our website, automatic information and general data is collected in order to create website statistics, such as page impressions, however this data cannot be used to track individual user movements on the website.
When you submit your request your IP address is also collected and some cookies which you can easily delete from your browser after your finish navigating in our site. (more details below)

What kind of information we collect from you when you order our services. (not online):

If you fill a form to enrol your child, we collect the following information:
• Name and surname of the parents or career
• Title of the parents (If they wish to provide one different than Mr and Ms)
• Name and surname of the child
• Age, class, teacher, allergies and/or medical conditions
• Home Address
• Phone contact numbers (usually from the parents) and emergency number
• Home number
• E-mail address
• We ask permission for taking and publication of class photographs. (you can Opt out)
• We ask permission to collect all this data above and that you agreed with our T&C.
Note: At this moment in time we don´t keep any of your credit card details. Some other billing information such as credit card, is processed at the moment with a third company (PAYPAL).
However most of our customers pays directly by BACS using their own protected banks. Therefore, we don´t hold any of your bank details.

 

What do we do with your personal data?

By registering with the website, it is understood that you are trying to purchase either our services or products.
If you purchase our services, the above data will be requested to be able to provide our services and if you purchase our products only part of that data will be requested as some other requested data is not necessary.
If you are registering with us because you have an interest in the courses advertised through it or/and you become one of our customers, your details will only be used to communicate with you about our courses that are relevant.
If you are one of our customers, your data is also required to process all the necessary legal paper work and internal record keeping.
From time to time we may send promotional emails about new products, special offers on courses or other information which we think you may find interesting using the email address which you have provided such as for example renewal letters, feedback of our services, reports and confirmation of payments.
We may contact you by email, mobile phone, phone or mail or directly to you in person.

 

Is this information share and protected?

All your information in our secure area is protected across the Internet with Secure Sockets Layer (SSL) encryption. In addition, we also have our secure servers to protect your personal information against loss, theft, or misuse. We do not and will not rent or sell any of our customer information to third parties. Therefore, your contact details will not be transferred to anybody else. The shopping cart on our website is hosted by Paypal collects customer order information for the purpose of facilitating the processing of transactions on our behalf. What about if your data is stolen?

If our data is stolen and your sensitive information falls into 3rd parties and of course we detect the breach of our stolen data. The breach register will be updated by the DPO (Data protection officer responsible), recorded and monitor and this will be reported to the ICO within 72 hours and you will be notified. Please note not all the breaches will have to be notified to the ICO, only the ones where the individual is likely to suffer some form of damage such as confidentiality or identity theft.

 

For how long your keep my data?

We have decided that will be fair and understandable that we keep your data since the day you bought our services or products until at least 6 years after you stop being with us.
To our discretion we could delete your data before that period.

What about if your data is stolen?

How we delete your data (regarding our services):

Firstly, your data is kept encrypted, therefore access is already restricted if it were to be stolen. Forms are only kept on-file electronically in a sever which is not connected to the internet. Data at some point could be in transit protected by 3rd party. In addition, we use and up to date Antivirus in all our devices.
When we destroy your personal data, we use Shredder to delete the contents of such files or folders, the Shredder tool ensures that the information cannot be recovered. The entire contents of any removable drive, including external hard drives of any backup will also be erased.
This tool allows to specify how many times (up to 10) that you want to shred an item: 1 (Quick) is the fastest and 10 (Complete) is the most secure. We always use the complete one, so you can feel confident that your confidential information cannot be recovered once deleted from our system.

How we delete your data (regarding our online shop):

Firstly, your data is kept encrypted, therefore access is already restricted to be stolen. To purchase any of our products, you will have to provide your details. Therefore, you will be creating an account with us. You can modify at any time your personal information and update your details.
You can delete your account at any time, if you delete your account the effect will take place instantly, however as we mentioned before we usually hold your data up to 6 years. After this period your data will be deleted from our external secure servers where all the files are kept encrypted.

Data Sharing and Transfers:

Save where it is necessary to do so in order to provide you with our services or to put you in touch with a third-party provider selected by you as set out in this policy, we do not share your personal data with third parties.
If we share your personal data with any third party such an IPS or hosting, service provider during providing you with our services, those third parties are required to process your data in accordance with contracts which comply with data protection legislation either in UK,  Europe or USA and such data travels encrypted.

Access to your information and correction:

We want to make sure that your information is accurate and up-to-date and will delete or amend any information that you think is inaccurate. We ask existing customers from time to time to review their existing data.
If you hold an account online with us you can delete your account at any time, however as previously stated we will hold your details for at least 6 years.
Amendments to your account can be made online by signing in to your account.
